Outreach Systems and Data Administrator Full Time

The Outreach Team at Imperial College London is seeking an Outreach Systems and Data Administrator on a 1-year fixed term maternity cover post. In this role, you will manage data processes and links to key databases to ensure that the Outreach Team has access to key insights about the various programmes we run at Imperial. You will also have a unique opportunity to work closely with colleagues in Information, Communication and Technologies (ICT) at Imperial to support the development of a new platform (Microsoft Dynamics) to manage applications to Outreach programmes.

You will join our Data and Evaluation Team within Outreach supporting the data and evaluation processes across the whole Outreach Team.


About the Outreach Team


Imperial's Outreach Team is responsible for delivering a comprehensive programme of activities for schools and colleges. We deliver a wide range of exciting and inspiring activities for diverse groups of students from underrepresented backgrounds, right across the United Kingdom. Our focus is on raising attainment, changing perceptions, supporting teaching staff and stimulating interest in STEM subjects from primary school through to A-Level, as part of Imperial's commitment to widening participation and outreach.


We are a mixture of trained scientists, mathematicians and advisors on higher education. Our diversity of experience is reflected in the wide variety of ways we work with schools and colleges, from providing tutors to support their science activities to delivering workshops that prepare their students for the university application process.


Duties and responsibilities


As Outreach Systems and Data Administrator you will help to provide key data and analysis about our programmes and participants, including connecting to relevant databases, such as the Higher Education Access Tracker (HEAT) in order to track outcomes for our participants. You will also work to transition Outreach programme application management onto a new CRM system, collaborating with ICT to ensure that the new system meets our needs and supporting the Outreach Team in transitioning to the new system.


Essential requirements





  • Experience of working with Microsoft Excel at an advanced level

  • Experience of manipulating and presenting data effectively

  • Experience of data collection, processing and storage of children’s information in line with General Data Protection Regulations (GDPR)

  • Experience formulating and defining specifications for new systems and applications

  • Experience of modifying/maintaining existing applications and systems

  • Knowledge of system development

  • A working knowledge of GDPR and data security

  • A methodical and accurate approach to work with excellent attention to detail

  • Excellent time management and ability to work to tight deadlines

  • Strong organisational skills and ability to prioritise and manage own workload

This is a full-time post, fixed term for 12 Months.

Hybrid working may be considered for this role. Staff working in roles that are suitable for hybrid working will normally be expected to work 60% of their time onsite. The opportunity for hybrid working will be discussed at interview.
