MSc & MRes Programme Administrator Full Time

The Department of Physics is committed to the development and delivery of excellent education and the support of undergraduate (UG) and postgraduate (PG) students. We have an exciting opportunity with a new position of MSc & MRes Programme Administrator, which will have a pivotal role in our education mission. There are currently nine Masters courses that run in the department, with a combined intake of ~200 students for the 2023/24 academic year.


Based in the Physics Education Office, the post holder will support the efficient administration of the PG teaching programme and the interfaces with the undergraduate taught programmes and wider department teaching and research activities. The postholder will work directly with our students and our Postgraduate Education Manager, Director of Postgraduate Taught Studies, and the UG and PG administration and support staff.


Duties and responsibilities


You will



  • Ensure the smooth day-to-day running of the programmes throughout the academic year, including answering emails, speaking with students, overseeing the teaching schedule, (updating it as appropriate), and being the “logistical expert” for all details of each programme.

  • Support all PGT programmes to align with the College’s modularisation strategy and College systems and the timely administration of student elective module selection.

  • Monitor and update MSc and MRes programme module information on the Virtual Learning Environment and provide expert support for students and lecturers in the use of Blackboard.

  • Act as an intermediary between College Registry Admissions Team, prospective students, Programme Directors and department administrators (where appropriate).

  • Manage cohort building activities such as student social events and informal lunches, and organise and promote seminars and colloquia.

  • Service MSc/MRes programme committees - collate information and take minutes of the meetings.

  • Assist the MSc and MRes Programme Directors regarding all aspects of the PG programmes admissions process, ensuring that all procedures are completed in accordance with College policy.


Essential requirements


You must be able to demonstrate the following essential criteria:



  • Relevant academic or vocational qualifications, or an equivalent level of work experience

  • Administrative experience in a Higher Education environment.

  • Experience of supporting academic staff in the delivery of lectures, course assessments and administrative processes.

  • Experience in setting up and improving administrative processes

  • Experience of timetable modelling and information gathering.

  • Working knowledge of a range of computer-based procedures and software packages, including Microsoft Office (Word, Excel, Access and Outlook), student records systems, Blackboard or similar Virtual Learning Environment (VLE).

  • A good understanding of academic regulations, including how to handle confidential

  • information with tact and discretion.

  • A good understanding of student systems and Registry procedures


In addition, it would be desirable if you have:



  • Previous postgraduate administrative experience in a Higher Education environment

  • Ability to design and maintain website content and structure using the appropriate software.
