We are seeking a diligent Administration Assistant for DLD College London. You will assist the Bursar in financial administration, general administration and additional operational duties, such as helping with the organisation of college events.


Your duties and responsibilities will include the following:



  • Filing/general photocopying and scanning

  • Creating letters for students, parents and other stakeholders, as requested by the Bursar

  • Assisting the Admissions team with new student registration and induction, particularly at the start of the academic year.

  • Assisting with open evenings and parent-facing events on occasion

  • Occasional Reception cover may be required to assist the school office team



Financial adminstration:



  • Assisting the Bursar with financial administration including:

  • Updating spreadsheets related to school fees and deposits

  • Updating student financial information in the SIMS system (training will be provided)

  • Assisting with queries from students and parents regarding school fees. This will involve both written and verbal communication.

  • Updating Excel spreadsheets related to departmental budgets and supporting the Bursar with queries from budget holders within the school regarding their budgets.

  • Assisting the Bursar with the processing of supplier invoices

  • Assisting with the ordering of academic and office supplies, including raising purchase orders, obtaining approval for orders, and placing orders with suppliers.



Operations:



  • Supporting the Bursar in the organisation of events and meetings within college

  • Occasionally assisting the Facilities Manager with event set up and administrative tasks

  • Liasing with internal caterers and external providers as required.



In addition to the finance department, there may be occasions where the role is called up on to help with other admin functions within the colleges



Qualifications and Experience


Key Qualities



  • Good verbal and written communication skills

  • A proficiency in Microsoft Office, particularly Excel

  • Good numerical skills

  • Attention to detail

  • Extremely well-organised

  • The ability to organise and prioritise a complex workload

  • Team player with ability to ‘think on their feet’

  • Flexible approach to workload

  • Experience of working in a busy and varied office environment

  • Willing to undertake other duties within the college and work as part of a bigger team

  • Educated to A-level standard or equivalent

  • Commitment to ongoing professional development



Desirable



  • Experience of working in an educational environment

  • Financial experience, although support will be provided on this so a formal accountancy qualification is not required.

  • Experience of SIMS

  • An ability to communicate with students and families from a wide range of backgrounds and cultures
