JOB TITLE: Receptionist / Administrator REPORTS TO: Community Service Manager HOURS: 22.5 hours per week -3 Days per week (Tues/Weds/Thurs) 09.00 to 17.00 SALARY: £25,000 per annum PRO RATA ROLE: Permanent Job Responsibilities: Primarily the post holder will support The Gynaecology Collaborative administration function as follows: Undertake a variety of administrative duties to assist the operations team with the running of the Gynaecology service. Greet patients and visitors to community gynaecology clinics in a warm, welcoming and professional manner. The clinics are located in existing healthcare premises across Haringey & Islington. Provide on-site support to gynaecology clinicians by ensuring that follow up instructions are actioned accordingly (i.e.

discharge letters, secondary care referrals, follow-up appointments, chasing up receipt of investigation results etc). Respond to and/or redirect all patient and visitor requests appropriately. Support the collection of patient satisfaction surveys. Act as chaperone when required.

Working with administration team in ensuring all patient information is managed appropriately and stored correctly, including monitoring referral inboxes and processing incoming referrals accordingly. Minute taking at Operational Team meetings and providing clerical assistance to Federation staff as required Have a working knowledge of all office based software and hardware, i.e. photocopier, patient information system (EMIS). Work safely at all times in accordance with legislative requirements and Federation policies and procedures Confidentiality: In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters.

They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately. In the performance of the duties outlined in this Job Description, the post-holder may have access to confidential information relating to patients and their carers, staff and other healthcare workers. They may also have access to information relating to the Federation as a business organisation. All such information from any source is to be regarded as strictly confidential.

Information relating to patients, carers, colleagues, other healthcare workers or the business of the Federation may only be divulged to authorised persons in accordance with the Federation policies and procedures relating to confidentiality and the protection of personal and sensitive data. Health & Safety: The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the Federations Health & Safety Policy, to include: Using personal security systems within the workplace according to Practice guidelines Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks Making effective use of training to update knowledge and skills Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards Reporting potential risks identified.
