Support Secretary/Typist Full Time

SECTION 1 - MAIN RESPONSIBILITIES To ensure all clinical correspondence is typed using audio typing and word processing To maintain a high standard of quality whilst producing a high volume of clinical correspondence, in line with the Clinical Correspondence Quality Control policy To collate and provide patient flow information to other colleagues to ensure the patient pathway is maintained and the service required is delivered Complete clinical proformas as required from the correspondence e.g. Inter-provider forms, web based forms. To work with the managers and supervisors to implement or propose changes to Standard Operating Procedures as required. The production of spreadsheets for the use in validation.

Responsible for the collection of information required to support the monitoring of patients on clinical pathways. This involves using a variety of systems and liaising with a number of departments within the hospital to obtain the relevant information. To ensure that complete, accurate and timely data is recorded on the Patient Administration System and other Trust systems as required in line with local policy. To liaise with other departments ensuring relevant information is communicated in a timely manner.

Where information is not readily available, work with clinical teams to ensure the timely inputting of data, taking corrective action when data is incomplete or inaccurate. To communicate patient progress through a pathway regularly and effectively to the relevant clinicians and managers. To intervene when patients are at risk of breaching the referral to treatment / ATR target and, if required, facilitate the earlier booking of outpatient appointments and diagnostic tests etc. by communicating with the relevant departments.

Following the agreed processes maintain good office systems and best practices. Close co-operation and flexible working practices, providing necessary cross cover with other Support Secretaries/ATR Trackers to ensure the provision of efficient and prompt typing. To follow set processes for the production of clinical correspondence, planning and organising the typing of letters with the necessary timeframe. Plan and organise own workload and complete this within a set time period to ensure targets are met.

To ensure all correspondence is available for clinics, patient admissions, and investigations. To take part in staff appraisal and induction of new starters, undertaking appropriate training and development as You will be required to assist in the training of other new Support Secretary/ATR Tracker. To respond and embrace requirements to change in working practice due to service developments and on occasions work in other areas from your base area. To deal with potentially distressing information and correspondence in a professional manner.

Any other duties commensurate with the grade and in line with the requirements of the post. SECTION 2 - KNOWLEDGE AND SKILLS To have excellent interpersonal skills and to communicate effectively. To be aware of current guidelines in terms of waiting time targets and the impact these have on day to day practices. To apply accuracy in typing clinical correspondence and have a excellent standard of attention to detail in all matters of work.

RSA level 2 qualification or have equivalent experience of typing is desirable. AMSPAR qualification or have equivalent experience and knowledge of medical terminology within one specialty and some knowledge of other medical terminology. SECTION 3 - EFFORT AND ENVIRONMENT To use a PC and audio transcribing equipment, either analogue or digital, for long periods of time on a daily basis. To move case notes within the department on a daily basis.

Combination of sitting, walking, standing and manual handling.
