Office Coordinator Full Time

Our Office Operations team is seeking a highly motivated and organised Office Coordinator to help manage the hands-on, day-to-day operational services in Optiver's expanding London office. As a member of this team, you'll be contributing to the broader strategic vision of developing and maintaining an office environment that aligns to our high-performing culture and creating a best-in class employee experience. This role will work on a shift pattern of either 8am-5pm or 9am-6pm.

What you'll do:


Optiver's Office Operations team is responsible for the physical office space, facilities, health and safety, security, travel, events, catering, reception and office administration. We're looking for someone with a continuous improvement mindset to really make this role their own, to get involved in initiatives within the wider team and to drive the development and implementation of procedures.



  • Soft services: responsible for the office's soft services, including but not limited to cleaning, plants, fabric, catering, security, pest control and confidential waste.

  • Hard services: responsible for covering the office's hard services when other team members are out of office.

  • Reporting: log, analyse and track all soft service tickets ensuring timely completion and close out.

  • Health and safety: ensuring the office is compliant with health and safety checks eg first aid boxes and fire extinguishers.

  • Employee helpdesk: responding to all employee 'customer service' requests regarding the physical space and amenities.

  • Reception coverage: leave coverage and support when required to ensure there is desk coverage from 8am until 6pm Monday – Friday.

  • Solutions focused, approaching challenges and problem solving in a calm, logical and structured way, thoroughly understanding the objective and desired outcome.

  • Ability to build strong professional working relationships with the team, vendors, contractors and suppliers.

  • Results driven mindset with exceptionally high standards, ability to embrace change and proactive in recognizing improvement opportunities.

  • High resiliency to competing priorities and uncompromising focus on quality.

  • Essential: 3 years + proven experience within hard and/or soft services FM.
