What you’ll be responsible for:


· Communicate with tact, understanding and discretion with members of the public/patients/carers when dealing with enquiries/complaints.


· Respond to all queries, correspondence and telephone calls coming into the office in a timely and professional manner. Initiate action where possible and report progress as appropriate. Employ judgement to ensure that messages and actions are prioritised and brought to the attention of the Director and Divisional teams as appropriate with any relevant supporting information.


· Receive and screen all incoming mail, obtaining any relevant background information as necessary.


· Plan for situations that are known and to be able to re-prioritise work to accommodate unexpected situations and interruptions.


· Ability to provide support and manage multiple diaries, prioritising meetings/appointments, as necessary, ensuring the Director and Directorate Managers has sufficient work/reflective time.


· Organise meetings/conferences as directed, including sourcing venues, inviting participants and guests and devising and sending details of confirmation of booking and joining instructions etc.


You’ll learn the following whilst working at the trust:


· An in depth understanding of the roles and responsibilities involved in working within the NHS.


· Knowledge of the systems used, to effectively complete your role to the highest standard at all times.


· A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation.


You’ll have the following skills/experience:


· Secretarial/Admin Qualification, such as BTEC or NVQ4 (or extensive experience of Secretarial/admin procedures working at Executive Director or senior manager level)


· RSA III Word-processing (or equivalent)


· ECDL or equivalent


· Evidence of Continuous Professional Development


· Minute taking experience


· Experience of drafting/preparing letters on behalf of senior staff.


· Excellent IT and keyboard skills


· Excellent communication skills


· Microsoft Office package knowledge e.g., Outlook, Word, Excel
