Senior Secretary- Birmingham Full Time

Purpose of the Role



To provide support to team members and management in the form of secretarial, administrative and PA duties.


Duties and Responsibilities



  • Act as a point of contact for team members, senior management, clients and other external partners.

  • Provide administrative support to management, including scheduling meetings, managing diaries, and making travel arrangements.

  • Meet and greet clients and visitors;

  • Deal with telephone and email enquiries;

  • Provide support to client facing team members assisting with client file set-up, compliance and valuation inspections.

  • Arrange in-house and offsite meetings;

  • Make travel arrangements: booking flights, hotels, and transportation;

  • Raise fee accounts, create debtors reports, update pipelines and maintain cash schedules;

  • Maintaining information on the Salesforce system;

  • Prepare, format and proof-read documents;

  • Prepare presentations using Microsoft PowerPoint;

  • Create ad-hoc letters, including copy typing and audio typing;

  • Assist with the development of systems and document templates;

  • Assist with recruitment, onboarding and training of new starters;

  • Attend meetings and record minutes;

  • Ensure health and safety policies are followed;

  • Liaise with office building management company.




Working Relationships and Contacts


You will report directly to a Regional Director/Sector Head and liaise with the Valuers and on occasion Christie Finance and Agency colleagues within your department to provide administrative support to them as required. You will also work closely with the Regional Director/Sector Head to ensure that health and safety, sickness and annual leave matters are dealt with effectively and correctly.

Person Specification


Skills and Experience





  • Educated to GCSE level or equivalent; Essential

  • Minimum of 2 years of previous experience within a similar role; Essential

  • Excellent knowledge of Microsoft Office; Essential

  • Numerate; Essential

  • Audio typing and copy typing skills; Essential

  • Excellent verbal and written communication skills; Essential

  • Highly organised and self-motivated; Essential

  • Knowledge of the property industry; Desirable

  • Knowledge of Salesforce; Desirable
