Receptionist/Audio Typist Full Time

The role of the Receptionist / Audio Typist will be to provide clerical and administrative support to the medical and secretarial team within East Lancashire Child and Adolescent Service (ELCAS). The post holder will spend some part of the week audiotyping letters from the digital dictation system, and the rest rotating onto our reception area providing front line contact with our young people and families. The role will involve processing and navigating urgent calls from the general public.

The post holder will require competency in general admin, keyboard skills, good communication and an ability to work well within a team. An ability to understand the need for and to maintain confidentiality is essential.

The role will involve some evening work on a rotational basis.

An exciting opportunity has arisen for an enthusiastic and hard-working individual to join the reception team based within the ELCAS Outpatient Department Burnley General Teaching Hospital.

You will possess excellent organisational, communication and keyboard skills and must be able to work well as part of a team and on your own initiative.

  • Be the front face of ELCAS by being part of the reception team, booking in patients, booking rooms, and ensuring the young people’s reception area is maintained to a high standard.

  • Process and navigate urgent/crisis calls from patients presenting in distress to the appropriate team.

  • Processing referral information gathered from self-referrals onto the IAPTUS system and allocating this for triage to the appropriate team.

  • Communicate with clinicians and ensure best levels of care and clinical decisions are followed for patients in line with guidance from the Assistant Business Manager.

  • Ensure accurate recording of patient’s demographics and personal details on the ELCAS IAPTUS system in accordance with Departmental Procedures.

  • Book in patients and inform the relevant Practitioner/Doctor, ensuring a smooth running of clinics.

  • General photocopying of prescriptions, sensitive documents relating to patient care.

  • Working with the team to ensure urgent ICE referrals are communicated and processed accordingly.

  • Implement manual procedures if there is a system failure and report any faults to the IT Department.

  • To cancel and rebook appointments liaising with patient.

  • Good understanding of medical terminology.

  • Completion of relevant paperwork, obtaining records when necessary, and other appropriate documentation.

  • Recording, collation and calculation of daily, weekly, monthly statistics and faxing/photocopying to relevant departments.

  • Copy and prepare patient records for solicitors, retrieval and photocopy relevant information and complete necessary paperwork.

  • Maintain booking diary for clinical appointments.

  • Input clinical information on to IAPTUS.

  • Accurately produce from audio/copy, patient related correspondence/reports of a sensitive and complex nature, using appropriate software and within specific timescales.

  • Ensuring a high standard of data quality at all times, in particular ensuring that patient demographic details are accurate and up to date by using the patient information system (PAS) and also IAPTUS which is a new data input system for ELCAS.

  • Filing and undertaking general admin tasks as requested by the Assistant Business Manager.

  • Being conversant with the Trust Digital Dictation systems and managing your own workload as delegated by the Assistant Business Manager.

  • Ensure all letters are copied to the appropriate professionals, including patients as defined by the clinical team.

  • Open and prioritise correspondence where required on behalf of the team secretaries ensuring that urgent correspondence receives prompt attention by directing it to the appropriate clinician, or team secretary.

  • Distribution of typed clinic letters and other relevant correspondence to other health professionals within the Trust/outlying district. This may be posting of letters into the Trust internal postage system, or via e-mail.

  • Work with managers to improve quality and range of services, with resources being managed according to agreed policies and procedures.

  • Flexible working to cover sickness and annual leave.

  • Ability to undertake tasks independently with support from team and Assistant Business Manager.
