The post holder will report to the Music Business Manager. The main contacts of the job are: Activities & Partnerships Service Lead, Music Centre Co-ordinators and other staff of One Education Music, parents/carers and pupils at the South and North Music Centres.

Key Role Descriptors The role holder will work closely with the Activities and Partnerships Service Lead and the Music Centre Co-Ordinators to deliver music centre administrative support. The role holder will support the North and South Music Centre Co-ordinators to ensure the safe and timely setup of the music activities spaces and attend to the registration desk during centre hours as music centre support administrator. The role holder will be the first point of contact and responsible for responding to external enquiries and/or directing to relevant information or individuals. The role holder will be responsible for the maintenance and monitoring of effective management information systems, processing invoices, monitoring payment and data collection.


Key Role Accountabilities



  • Assisting in the administration of the North and South Music Centre Program;

collating information to ensure the enrolment and payment process, providing
support and information to the centre-coordinators to ensure the smooth running
of the music centres.



  • Supporting the effective running of the North and South Music Centres’ activities

– including setup of the registration desk, centre information board and signage.



  • Greeting young people, parents/carers and One Education staff, ensuring sign-in

and sign-out procedures are adhered to. Act as a first point of contact responding
efficiently to a wide range of queries with tact and diplomacy and directing to the
relevant information or members of staff.



  • Assisting with the scheduling and timetabling of 121 instrumental tuition, including

liaising with parents/carers to ensure accurate communications about service
delivery including absence, cover and continuity.



  • Working closely with the finance team, keeping up to date records of payment






information received from both the finance team and direct payments made at music centres and provide updates when required.




  • Support the Activities and Partnerships Service Lead in ensuring implementation

of One Education policies and processes (e.g. GDPR, Safeguarding, Health and
Safety, Child Protection, Equality and Diversity Policies)



  • Provide general administrative support to the Activities and Partnerships Service

Lead, or as required by service need.



  • Personal commitment to continuous self-development and service improvement.


Working hours Where the post-holder is disabled, every effort will be made to fully
supply all the necessary aids and adaptations or equipment to allow them to
successfully carry out the full duties of the job. If, however, a certain task proves to
be unachievable, job redesign will be fully considered.

Person Specification



For this job we are looking for:


1. Ability to plan and prioritise own workload and meet deadlines within fixed, sometimes conflicting, timescales.


2. Excellent IT skills, including word processing, databases, spreadsheets, and


internet /intranet email. 3. High level written, oral and listening communication skills for effective interaction


with external contacts including customers, colleagues, parents/carers and young people.


4. Analytical and problem-solving skills and the ability to identify practical solutions. 5. Ability to adapt to challenging situations and people and respond appropriately


using negotiation and influencing skills to achieve objectives. 6. Knowledge and experience of music education initiatives and terminology


although beneficial is not essential.


7. Knowledge, experience and understanding of safeguarding procedures. 8. Basic knowledge and understanding across a range of social media platforms


9. Ability to work flexibly, including after school music centre hours as required by


service need.


10. Willingness to act as a designated first-aider or fire marshal (appropriate training will be provided)
