PA to VP Brand adidas Full Time

Purpose & Overall Relevance for the Organization:


To provide varied and comprehensive administrative support to the VP Brand adidas North Europe and the wider Brand team.




Key Responsibilities:




Functional:


  • Manage diary and inbox for the VP. Ensure diary up to date and meet all deadlines liaising with Brand Directors’ assistants (when necessary) to ensure time is used efficiently and effectively.

  • Preparation of confidential correspondence using PowerPoint, Excel, Word, etc.

  • Using the Concur system, book travel & accommodation for the VP and the team, using your initiative to manage all T&E within budget guidelines.

  • Using the Concur system, process VP expenses

  • Approve expenses and holidays for all the VP’s direct reports.

  • Coordinate meetings (internal and external) ensuring all requirements are met. Incorporate best practice and cost effectiveness when searching external venues.

  • Raise purchase orders on behalf of the VP and any requests from the team. Manage subsequent invoice approvals

  • When requested, order football tickets using the adidas Ticket Manage Platform.

  • Process Gift of Kit orders for the VP and team.

  • Responsible for ordering and distribution of Business Discount codes for the business.

  • Responsible for general housekeeping and reporting of any office maintenance/health & safety issues to the Facilities team.

  • Distribute incoming and outgoing parcels and post

  • Maintain stationery stocks to enable smooth flow of requirements for the team.

  • Support the wider team when required e.g. provide cover for other PA’s.

  • Support for events such as Sports Industry Awards, Sports Personality of the Year, Women’s/Men’s Euros, World Cup, etc.

  • Responsible for requests/distribution of Arena concert tickets.

  • Display personal discretion and confidentiality within all aspects of the role.

  • Show initiative and organisational ability to prioritise workload.

  • Maintain effective communications and good working relationships with both internal colleagues and external business contacts.



  • Use initiative when faced with confidential issues/correspondence.






Key Relationships:


  • Key interfaces: Brand Teams, other PA’s/Coordinators, Directors & Heads of Depts, Executive Assistants within European and Global functions






Knowledge, Skills and Abilities:


  • Good academic background

  • Accurate typing skills, coupled with excellent computer skills and a good knowledge of Microsoft Office (in particular, advanced experience of Word and PowerPoint).

  • Excellent organisational skills with the ability to use own initiative.

  • Flexible approach and ability to work well under pressure and to tight deadlines.

  • Enthusiastic approach with excellent interpersonal skills and the ability to communicate effectively at all levels with confidence.

  • Ability to display personal discretion and confidentiality.






Requisite Education and Experience / Minimum Qualifications:


  • Proven experience in a position of a similar level

  • English and Maths GCSE or equivalent
