Role Summary




As an IT Procurement Specialist, you will play a crucial role in running the IT procurement function. You will work with the CIO and IT Department to ensure the organization's IT procurement strategy and processes are efficient, cost-effective, meet the current and future needs of the business while remaining compliant with all legal and regulatory obligations. You will be responsible for reading and reviewing contracts and reviewing external supplier agreements to ensure they are fit for purpose (as part of the overall IT Procurement and Sourcing function). Additionally, you will use procurement systems to process and manage contracts, statement of works and order forms, invoice processing and payment to ensure accurate and timely payments of vendors. You will participate in RFI’s and RFPS as well as vendor service reviews ensuring adherence to third party vendor management policies. You will also work within the IT department (including R&D) ensuring there is regular research and review of vendors and vendor solutions and offerings to make sure they meet the needs of the business. This is very much a growth role, this will be a new function inside IT so the successful candidate will be working in a “green field” position helping to define and formulate the role and responsibilities.






Key Responsibilities



  • Review contracts and agreements with external suppliers to ensure they meet the organization's IT procurement requirements.

  • Work with stakeholders like Legal, Finance and other departments to ensure the contracts meet requirements and expectations.Work with finance specifically on budgeting and overall running costs.

  • Participate in service reviews to ensure vendors are meeting expectations.

  • Participate in RFI / RFP processes as and when needed to help select new vendors.

  • Negotiate on pricing, discounts, SLA’s, legal and other clauses.

  • Regularly conduct research and compare different products, services offering and suppliers.

  • Utilise the overall procurement process and systems, provide feedback to the process/system owner to streamline and improve the overall activity.



Requirements



  • Ideally, a bachelor's degree in a relevant field (Legal, Finance, IT, Business etc)

  • Any experience in IT procurement or a related role would be a bonus as would knowledge of Legal, Finance, IT and contracts in general.



Skills and Abilities



  • Attention to detail is critical to ensure accuracy in contract review and invoice processing.

  • Strong communication skills (written and oral) to liaise with internal stakeholders and external provides.

  • Knowledge of procurement best practices (and / or an appetite to investigate and familiarise oneself with industry best practices)

  • Ability to analyse data and make informed procurement decisions.

  • Strong organizational skills to manage procurement processes efficiently.

  • Proficiency in procurement software and tools.

  • An appetite to learn on the job but also remain agile at all times.
  • Ability to set and manage expectations.
