The Faculty is part of the School of the Built Environment, Engineering and Mathematical and Physical Sciences (BEAMS). The post holder is part of the Faculty Operations Team, delivering strategic and day-to-day finance support to the Bartlett faculty and all departments.

About the Role

This is a maternity cover fixed term/secondment role with an expected start date of 22 June 2026 until 18th September 2027. The Faculty Finance Officer role specialises in managing the financial administration of the Faculty Office and new academic institutes during their start‑up phases. It ensures robust and documented financial procedures, with a strong focus on monitoring expenditure, budget setting, forecasting, and financial reporting. The post supports senior stakeholders including the Director of Operations, Deputy Director of Operations, Faculty Operations Manager, Dean, and Institute Directors. The postholder will deliver a high‑quality, timely finance service and plays a key role in training, knowledge‑sharing, and consistency of financial practice across the Faculty. Duties and responsibilities of this role revolve around the following key areas: • Finance systems – Advise and manage annual budgets and forecasts with senior stakeholders, working closely with the School finance team on all budget cycles and month‑ and year‑end processes, provide regular management information to support informed decision‑making, service relevant committees, and deliver briefings and guidance to staff on financial procedures. • Financial Reporting and Planning – prepare budgets and forecasts, working with senior stakeholders to agree, manage and monitor budgets, liaise closely with the School finance team on annual cycles and month‑ and year‑end processes, provide clear monthly management information to support decision‑making, service relevant committees, and deliver guidance and briefings on financial procedures. • Financial Processing & Procurement – Manage day‑to‑day financial processing, including transfers, journals, expenses, credit cards, requisitions, purchase orders and invoices, ensuring compliance with UCL financial regulations, monitor expenditure across relevant accounts, flag potential overspends to senior stakeholders, and oversee supplier set‑up and management • General Finance Administration – Act as the first point of contact for finance‑related enquiries, providing advice on UCL procedures and regulations, maintain accurate financial records and filing systems, liaise with central teams to ensure correct treatment of income for taxation purposes, support team resilience through cover during absences or peak workloads, and comply with health and safety requirements while undertaking other duties appropriate to the role.

About You

You are an experienced finance professional with strong knowledge of financial administration, budgeting, forecasting and reporting, gained through a degree‑level qualification or equivalent experience. You are confident in using online finance systems and have advanced Excel skills, alongside excellent all‑round IT capability. You have strong analytical, organisational and communication skills, with the ability to present clear financial information to senior colleagues. The role requires a high level of accuracy, discretion and confidentiality, the ability to prioritise under pressure, and a willingness to learn new systems quickly. You will be committed to providing a responsive, supportive service, contributing positively to the Faculty, developing others, and actively supporting equality, diversity and inclusion. Experience in higher education or a research environment, and/or being part‑qualified or studying towards an accounting qualification is desirable, but not essential.
