System Support Administrator

MARCO, a globally recognised automation and technology company and part of the ATS Group, is seeking an organised and pro-active Systems Support Administrator to provide administrative and operational assistance to the Service Team, maintain high standards of stakeholder support and ensuring the smooth running of the department.
This office-based role in Edenbridge is offered on a minimum 12-month fixed term basis and potentially a slightly longer contract term depending on availability to start.
Main responsibilities:
This role acts as a key point of coordination between technicians, Service Managers, customers, and external vendors, ensuring service processes, documentation and communications are accurate and timely. Main responsibilities include:
- Administrative Support
- Providing day-to-day administrative support to the Service Department.
- Maintaining accurate service records, job files, contracts, and documentation.
- Preparing reports, correspondence, and service-related documentation.
- Scheduling & Coordination
- Scheduling service appointments, maintenance visits, and technician workloads.
- Coordinating job allocations, follow-ups, and service completion updates.
- Liaising with technicians and supervisors to ensure schedules are met.
- Customer Service & Communication
- Acting as the first point of contact for service-related enquiries (phone, email, in person).
- Communicating service updates, delays, and completion notifications to customers.
- Handling customer queries professionally and escalating issues when required.
- Financial & System Support
- Assisting with service invoicing, purchase orders, and job costing.
- Processing timesheets, service reports, and warranty claims where applicable.
- Ensuring service data is accurately entered into internal systems.
- Compliance & Quality
- Ensuring service documentation complies with company policies, safety, and quality standards.
- Supporting audits and inspections by maintaining accurate records.
- Assisting with continuous improvement of service administration processes
Skills & Qualifications:
Essential
- Proven experience in an administrative or office support role.
- Strong organisational and time management skills.
- Excellent communication and customer service skills.
- High attention to detail and accuracy.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and business systems.
Desirable
- Experience in a service, maintenance, or technical environment.
- Familiarity with job management, CRM, or ERP systems.
- Basic understanding of invoicing and service workflows.
