JOB TITLE: Administration Support Assistant


REPORTS TO: The Community Wellbeing Manager, Secretary and Trustees of the Wellbeing Project Brecon


LOCATION: Based at St Johns Family Centre, Pendre Close, Brecon


Pay: £9.90 per hour (Real Living Wage)


18 hours per week


Subject to future funding


Key Contacts External: To develop and maintain positive and effective working relationships with:


  • * Families, visitors and other agencies accessing the Projects programmes, activities and information.
  • * Other external agencies as appropriate including partner agencies, funding bodies, voluntary agencies, suppliers and others.


Job Purpose/Summary: To support the centre manager with regards to all admin and finance responsibilities arising within the project, and also may be called upon to help with setting up room hire arrangements.


Main tasks


1. To undertake the drafting and production of letters, records, minutes and reports.


2. To maintain and keep up to date the Projects financial budget.


3. Dealing with personal enquires and referring callers to the appropriate person. Liaising with professionals, service users, parents and the general public.


4. To deal with post and emails as appropriate.


5. To order supplies of stationery/stamps, purchase of equipment, booking training courses, cleaning products, refreshments and other needs for the project as required.


6. To produce publicity/display materials and newsletters for the project as well as handling social media platforms.


7. To assist in the organisation of meetings and other events organised by the Project, including booking rooms, co-ordinating diaries, arranging catering, minute taking, sending out information etc.


8. Open and close the centre as required.


9. Register as one of the main key holders and be a point of contact in an emergency call-out situation – you may be called out at unsociable hours or at weekends to deal with security problems (you will be compensated).


10. To accurately input data into database systems, produce statistical information for management purposes, the project team and the Statutory Bodies and operate other manual recording systems as required by the Project.


11. To operate an up to date filing system and undertake photocopying as required.


12. To attend staff and management committee meetings, prepare and distribute minutes.


13. To issue and monitor petty cash systems as per finance procedures and maintain appropriate records.


14. Assist the Project Managers and Finance Officer in the generation of grant returns.


15. To ensure that data protection rules and confidentiality is maintained at all times


16. The post-holder will be expected to continuously develop in their role.


17. To attend and participate effectively in team meetings, supervision and appraisal


18. To be familiar with and comply with Faith in Families policy on Health, Safety and Welfare (as set out in the general memorandum Health and Safety at Work Act 1974). To bring to the attention of Senior staff any health and safety requirements which become obvious. In the event of any immediate danger, to take the appropriate action to reduce risk of physical danger to either children, parents, visitors or staff.


Job Type: Part-time
Part-time hours: 18 per week


Salary: £9.90 per hour
