Job Introduction

dmg::media Finance Services provides support services to Associated Newspapers Limited, Daily Mail and General Trust Plc and other smaller DMGT owned companies.


Associated Newspapers is a publisher of national newspapers in the UK ? the Daily Mail and The Mail on Sunday, as well as Metro. The division also includes newspaper printing operations.


Background to the Shared Service Function
dmg::media Finance Services is a shared service function based in Leicester. It was introduced as part of a reorganisation of finance, together with a new Agresso accounting system and our in-house sales ledger and credit management system. It is continually evolving as work transitions in from the individual business units across the group.

The Shared Service function will consist of approximately 70 people, in the areas of order to cash (accounts receivable and credit control), purchase to pay (accounts payable), record to report (general accounting), payroll, HR Administration and related support services. The staff are based primarily in Leicester, with a small number of staff, covering specific areas of work, based in London.


The Role

The Payroll Administrator will be expected to ensure the accurate processing of wages, salaries and other forms of compensation across their allocated payroll site. They will be responsible for maintaining a proactive and positive working relationship with their key customers on their allocated payroll sites and ensuring that queries are answered on a timely basis.


Main Responsibilities

To ensure specific tasks are processed according to Senior Payroll Administrator/Team Leader instructions and direction:

Monthly Payroll Runs

  • Ensure that all amendments are processed via Workday or posted directly to the payroll system prior to the payroll deadline
  • Inform relevant centre of any known missing data and ensure that this data is complete on Workday and received in itrent prior to the payroll deadline
  • Review the errors, exceptions and elements reports and reconcile to final payroll
  • Ensure that the BACS report, payroll summary and final analysis are reconciled and authorised
  • Where a supplementary run is undertaken, ensure that there is a clear audit trail from the first run to the last run
  • Ensure that the payroll information is ready to be transmitted to the BACS system 4 days before the relevant pay date and the funds transferred to employees` bank accounts by pay date or previous Friday if pay date is a week end or bank holiday
  • Print pay slips for leavers and post with P45 to home addresses

Holidays, Sickness and Other Absences

  • Update the absence management system for family leave & calculate family leave pay accurately
  • Ensure that the payroll is adjusted for any unpaid leave or family leave pay
  • Family leave pay to include, Maternity, Paternity, Shared Parental Leave and Parental Leave
  • Ensure that the payroll is adjusted for any Company and Statutory Sick Pay

Queries

  • Respond to any queries that may be raised by the people being paid, with the exception of certain pension queries, where they must be directed to the Pensions Office. Ensure action is taken where required.
  • Highlight any recurring issues so that they can be raised with the relevant centre

Pensions

  • Ensure pension deductions are processed accurately and in line with Auto-enrolment and Pensions Salary Sacrifice/Exchange procedures

Other

  • Validate P45s from joiners and enter on payroll system to allow accurate FPS submissions to HMRC
  • Create P45s for leavers and distribute accordingly
  • Keep up-to-date with all payroll matters to ensure that the service provided continues to be accurate and within UK law
  • Assist other members of the team when necessary including the weekly payroll
  • Assist in the preparation of month end reporting and reconciling
  • Assist in the preparation and issuing of P60’s to employees and provide details to the Inland Revenue by the required deadline
  • Assist in the preparation of P11d’s and ensure that copies are distributed to employees and submitted to the Inland Revenue by the required deadlines.
  • Liaise with auditors as and when required

Contribute to the development of a customer focused culture

  • Display and encourage a proactive, problem solving and can-do attitude both with internal and external customers
  • Ensure a consistent quality of payroll services to customers adhering to high internal standards and minimum quality issues
  • Ensure that open and consistent lines of communication are maintained with customers
  • Ensure the delivery of Service Level Agreements and Key Performance Indicators
  • Contribute to service led culture ensuring the satisfaction of the customer at all times

Conditions and Future Development

  • Keep up to date with all payroll matters to ensure that the service provided continues to be accurate and within UK Law

  • Contribute to the identification of opportunities for performance improvement for the SSF.

The above are the principal tasks for the post of Payroll Administrator and, if deemed necessary and in consultation with the postholder, may be subject to amendment at a future date to comply with the operational demands of the company.


Qualifications and experience

  • Previous experience of payroll administration required preferably in a Administrator capacity within a team
  • Excellent Customer Service Skills ? experience working with and providing a service to internal and external customers; strong verbal communications skills are essential; ability to work to tight deadlines to meet customer requirements; a proactive approach to resolving customer problems and queries;
  • Accountancy Skills ? GCSE Maths at grade C or above or equivalent e.g. Numeracy at Level 2; Demonstrates the capacity to learn required accountancy skills during training.
  • GCSE English at grade C or above or equivalent e.g. Literacy at Level 2; Excellent keyboard skills; Ability to work with accuracy and good attention to detail;
  • Strong IT Skills ? Confident user of Microsoft packages, including Word, Outlook and Powerpoint. Strong Excel skills is essential (V-look ups and Pivot tables)
  • Previous experience of Payroll systems and packages required / Experience of Midland iTrent would be advantageous
  • Payroll Qualification or at least 2 years payroll experience working within Payroll Office.
  • HR administration / Benefit Administration would be a bonus but not essential
