Job overview


We are currently seeking either one full time or two part time enthusiastic and motivated Clinical Team Administrator/s to join our busy, friendly team at Coastal IDT in based in Ipswich.



We are looking for new colleagues with excellent time management skills, a positive approach and who are calm under pressure. There will be face to face contact with service users and the working environment can be very busy. The successful candidates will need to have the ability to confidently and sensitively deal with individuals who may sometimes be distressed or upset.



Previous administration experience is essential.


Main duties of the job


The roles and responsibility of this post include but not exclusive to:



To support clinical doctors and team members with their admin work. This will involve audio typing of the doctor?s letters, arranging doctor's appointments, attending and taking the minutes at clinical team meetings, receiving and making telephone calls to service users, carers and other professionals.



The role includes being first point of cover for our receptionists as required. This includes covering the reception when needed to greet service users, carers and other professionals who come to reception and answering the main telephone line for the building.

The successful candidates will be an integral part of the team and help provide an efficient professional service, responding to the administrative needs of the team to ensure that the requirements of the organization are met.



We are looking for somone with



  • Excellent articulate communication skills.

  • Audio Typing

  • Ability to prioritise workload.

  • A working knowledge of Microsoft Office packages, including Word, Excel and Outlook will be essential.

  • Knowledge of the Trust system Lorenzo would be an advantage but is not essential. Training will be provided.

  • Understanding and experience in a full range of administrative procedures and systems gained

  • Working under pressure

Qualifications

  • Pitman/RSA III Typing / Word Processing or equivalent secretarial experience at intermediate level

  • NVQ 3 Business Administration or equivalent or working towards.

  • NVQ 2 Customer Services or working towards.

Skills

  • Excellent articulate communication skills.

  • Ability to prioritise.

Knowledge


Essential criteria

  • Working knowledge of Microsoft packages or equivalent

  • Maintaining administrative / secretarial systems

The Trust has now introduced a DBS Update Service which is a contractual requirement. You need to subscribe when you have applied for your DBS clearance and there is a time limit to subscribe of 19 days after receipt of your DBS disclosure. Please ensure that this is completed within the set time scale.



This update service is an annual subscription at a cost of £13 to you. This will enable the Trust to have instant online access to your DBS record, with your consent, and so will remove the need for you to have to apply for this repeat check again.
