HR Admin Partner

Job description

Recruiting a HR Admin Partner to join our Head Office based in Westminster!

GBP 26,000 per annum, 35 hours per week, 25 days Annual Leave, Pension schemes, Staff discounts, healthcare and more.

Job Overview:

To support the organisation in providing a customer focused, accurate and proactive HR administration service, working closely with a team of administrators to seek opportunities to streamline and improve administration processes.

Key Responsibilities:

  • Deliver a broad range of HR transactions supported by a strongly customer service orientated multi-skilled team e.g. from contractual changes to onboarding of new starters
  • Ensure a culture of personal ownership where ?first contact resolution? is displayed; ensure that clear and standardised processes are followed that focus on quality and accuracy of work in line with established standards and KPIs e.g. ?right first time? philosophy
  • Co-ordinate recruitment campaigns, including proactively agreeing and overseeing a recruitment plan with hiring managers, uploading recruitment adverts onto iTrent and other websites, proactively searching for candidates via LinkedIn and CV searching, recommending best places and innovate ways to advertise, arranging interviews and assessments, sending candidate?s assessment and interview invites, notifying unsuccessful candidates on their application or interview or keeping them informed of the progress of their application, and addressing ?on the day? arrangements
  • Process monthly HR / Payroll logs within the agreed timeframe
  • Ensure appropriate transaction processing solutions identified where the issues will impact across several service areas
  • Ensure compliance throughout the service with policies, regulatory and legal requirement and ensure data is handled in a safe and secure manner in accordance with GDPR and associated data regulations
  • Promote a culture of continuous improvement to seek better, faster, more efficient ways of delivering transaction processing services that have customers at the centre of the experience
  • Acting as the first point of contact for all HR Admin related queries, via phone and email; responding promptly, whilst managing expectations effectively
  • Respond to straightforward policy and process queries, providing appropriate advice and guidance in line with Look Ahead policy, ensure that urgent items are prioritised and that any issues are highlighted and resolved as quickly as possible; escalate to the HR Team Leader or an HR Business Partner as appropriate
  • Manage the pre-employment, annual and cyclical processes, DBS checks, eligibility to work, declarations of interests, and other checks, escalating to an HR Team Leader or Head of HR Shared Services as necessary
  • Providing proactive and consistent support to the wider HR team, Line Managers and Employees alike
  • Processing new starters, role and salary changes, leavers, including provision of letters and contracts and administering systems changes within agreed SLA
  • Collate TUPE files and documentation as required
  • Ensure that HR systems, files and procedures and other documents are kept up to date and accurate
  • Undertake administrative duties such as filing, mail outs, mail merges, scanning, photocopying, and collating packs, distributing post, preparing purchase orders, arranging for registered or recorded delivery
  • Any other duties commensurate with the role.

  • Support the work of the HR team with any projects, research or other requirements as needed
  • Proactively seek feedback from the business to continually improve the work of the HR team and contribute to the development and implementation of HR strategy
  • Follow relevant Health and Safety policies and related procedures, keeping up to date with changes and taking action to maintain personal health and safety and that of others

Skills, Knowledge and Experience:


  • Strong administrative experience, preferably within a Human Resources environment
  • Good written and spoken English
  • Excellent IT skills in Microsoft packages
  • Able to quickly pick up new IT system


  • Previous use of iTrent would be an advantage
