Recovery College are looking to recruit a conscientious, calm and considerate individual to become part of the Administration Team.

The college provides educational workshops and courses designed to support people experiencing mental health challenges to learn skills and strategies.

You will need to enjoy working with people as well as electronic systems and experience is essential. The role requires a high level of person centered communication and customer service skills, and a competent level of technical IT ability.

Main duties of the job

The roles and responsibility of this post include:

  • Maintaining electronic course booking & student database system

  • Managing incoming calls and emails from students, clinical staff and tutors

  • Administration of student registrations, course applications and timetable

  • Assisting students access courses via Zoom & Webinar

  • Supporting Managers in the day to day running of Recovery College

  • Creating electronic and postal mail outs to students

  • Booking venues and meeting rooms

  • Entering monthly attendance data

  • Creating excel reports

  • Attending and minuting meetings

  • Creating admin processes and guides

At times such as enrolment there will be face to face student contact and the working environment can be very busy.

The successful candidate will need to have the ability to confidently and sensitively deal with calls from individuals who may sometimes be distressed or upset.

Covid-19 Update:

We are working hard to maintain usual recruitment process however please be aware that we may ask you to be interviewed via Skype/Microsoft Teams/Zoom rather than in person.

This role is usually office based. In line with Government Guidance and NSFT policy the role will remain as home working until the Recovery College can provide face to face courses.

Person specification


Essential criteria

  • NVQ 3 Business Administration or equivalent

  • NVQ 2 Customer Service or equivalent

  • Pitman/RSA III typing/word processing secretarial experience at intermediate level

Desirable criteria

  • Knowledge of NHS & Trust Systems


Essential criteria

  • Experience in a full range of secretarial and admin procedures at intermediate level

  • ICT skills including Microsoft (especially Excel) and database systems

  • Interpersonal skills including taking a proactive and diplomatic approach and ensuring confidentiality

  • Excellent articulate communication skills

  • Working on own initiative with minimal supervision

Desirable criteria

  • Staff supervision experience

The Trust has now introduced a DBS Update Service which is a contractual requirement. You need to subscribe when you have applied for your DBS clearance and there is a time limit to subscribe of 19 days after receipt of your DBS disclosure. Please ensure that this is completed within the set time scale.

This update service is an annual subscription at a cost of £13 to you. This will enable the Trust to have instant online access to your DBS record, with your consent, and so will remove the need for you to have to apply for this repeat check again.

Applicant requirements

  • The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
