Production Support Administrator

Report to Production Manager

40 hrs p/w (M-Th 0830-1700, F 0700-1530)

Annual Salary up to £21000 (£10.10 p/h equivalent)


To provide administrative support to the Manufacturing Division and be the first point of contact with external customers and internal stakeholders.

Maintain and distribute KPIs.

Maintain accurate records of communication with customers and stakeholders and audit trail of decisions using BO on SAP and email.

Key Accountabilities

  • Main contact by phone, email and fax for all customer delivery issues.
  • To provide contact support for customer QA issues.
  • To maintain the local Customer Complaints (CC) process & log ensuring timely progress and communication to internal/external customer
  • Maintain & distribute Customer Complaints KPI
  • To maintain the local Non-Conformance Reporting (NCR) process & log ensuring timely progress.
  • Maintain & distribute NCR KPI
  • Help with presentation & update of problem-solving progress to customer.
  • To escalate action slippage when CC, NCR & MRF tasks are not progressed in a timely fashion.
  • To maintain the local Maintenance Request Form (MRF) process & log ensuring timely progress.
  • Maintain & distribute MRF KPI
  • To assist with the Cycle Count process including variance investigation
  • Maintain & distribute Cycle Count KPI
  • To co-ordinate & facilitate meetings to resolve action slippages from all above processes.
  • Assist with the upkeep of training matrix.
  • Ensure adequate office consumables for all
  • Take notes in meetings such as health and safety committee, disciplinaries and consultation meetings. Comply with confidentiality and GDPR regulation.
  • Record and pass on messages from employees.
  • Maintain accurate data on MRP and SFDC.
  • Keep the workplace tidy and organised ensuring targeted 6S standards are met at all times
  • To support the purchasing/supply chain function in the raising of Purchase Orders
  • These are the main functions of the role; however, the position holder may be required to carry out other, ad hoc duties, as may be reasonably required.

Person Specification

Education and Experience

  • NVQ Level 2 qualification in Business Administration (alt. minimum 1 years in similar role in manufacturing administration)
  • Must have at least one year experience in a similar role.
  • Experience of developing Customer Relations.
  • Has an understanding of the requirements when processing Customer information.
  • Proficient in MS Office suite, particularly MS Excel, MS Word
