Personal Assisant Full Time

We are recruiting a full time PA support to the Group Director and Head the department.To provide business support to drive forward a range of activity based on key strategic priorities (eg. activities related to developing high performance culture) ensuring they are delivered on-time and to a high standard.
Main Duties and Responsibilities
Provide full PA support to the Senior Leadership team, including high volume email and diary management.
To be responsible for arranging meetings, committees, working groups, events and seminars as delegated. Managing the organisation of management meetings, and act as secretary to such meetings producing comprehensive minutes and action plans.

To ensure the smooth running of the department through the maintenance of effective administration processes and activities. This includes liaison with other professional services - HR, Purchasing, Finance and IT.
Undertake project management duties for a range of large scale strategic projects and development initiatives.
Assist the EA to co-ordinate and plan the recruitment and on-boarding of new staff in the department to ensure HR policies are followed.

Foster an environment of continuous improvement, reviewing and updating working practices to reflect the needs of the business, and maintain and deliver to the highest possible standards.
AND such other duties as are within the scope and spirit of the job purpose, the title of the post and its grading.
Person Specification:
  • Excellent written and oral communication skills.

  • Experience of supporting senior staff and/or management.

  • Recent relevant experience in an administrative, secretarial or project management role.

  • Experience in HE sector.

  • Well-developed organisational skills including maintaining confidentiality of information, records, and correspondence with judgement and discretion.

  • Ability to work on own initiative and to handle difficult situations.

  • Ability to utilise administrative computer software packages.

  • Skill in establishing and maintaining cooperative working relationships, establishing rapport and gaining the trust of others.

  • Personal integrity, discretion and ability to keep sensitive information confidential.

  • Ability to work unsupervised on own initiative whilst contributing as a member of a team.

  • Ability to work well under pressure to tight deadlines.
