Job overview



An exciting opportunity has arisen for a Team Administrator to join our friendly Secure Services Blakeney Ward Administration Team, based at Northside House in Thorpe Saint Andrews.


This post will involve working in the Blakeney Ward Admin team based at Northside House. The role primarily involves the provision of administrative support to the Ward Administration team.


Candidates should have high level commuication, organisational and numeracy skills, and a full commitment to the care and wellbeing of Service Users with mental health issues.
You will be a confident, level-headed individual who can work independently in a busy office environment, responding to changing priorities and delivering accurate work within tight deadlines. The ability to deal with confidential and sensitive information in a professional manner is essential.



Main duties of the job



DUTIES AND RESPONSIBILITIES


Communication

Answering the telephone, if required, directing calls or taking messages and ensuring all messages are passed on in an appropriate and timely manner, dealing with enquiries and maintaining Customer Service standards at all times.

Knowledge & Training

Undertaking professional development as identified in Appraisal and Supervision. Data entry and retrieval into/from Trust Electronic Systems, ePex, to support data quality and Locality Business performance. Typing, minute taking, diary management.

General

Sorting and distribution of incoming and outgoing mail. To receive and process information from the teams including typing, photocopying and faxing documents. Maintaining Filing systems as per Trust Policy and Procedures. To provide flexible support and cover across the Locality Teams as indicated by Service need and under direction of Clinical Team Leader/Administration Manager.

The Trust has now introduced a DBS Update Service which is a contractual requirement. You need to subscribe when you have applied for your DBS clearance and there is a time limit to subscribe of 19 days after receipt of your DBS disclosure. Please ensure that this is completed within the set time scale.



This update service is an annual subscription at a cost of £13 to you. This will enable the Trust to have instant online access to your DBS record, with your consent, and so will remove the need for you to have to apply for this repeat check again.



Applicant requirements



  • The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
