Norfolk and Suffolk NHS Foundation Trust provides child and adult mental health services, alcohol treatment, learning disability, wellbeing and eating disorder services across Norfolk and Suffolk.

Suffolk Wellbeing are looking to recruit an extremely professional, conscientious, calm and confident individual to become part of the Administration Team for its Clinical Support Team.

Previous administration experience is essential, however full training will be given.

Main duties of the job

You will be encouraged to develop your skills and knowledge and we may ask you to spend time in other satellite bases to facilitate this process.

  • This is a full time position on a temporary basis to cover maternity leave

The roles and responsibility of this post include:

  • Taking minutes at meetings

  • Managing incoming calls

  • Administration of referrals, ensuring sufficient detail and entering data onto the patient?s electronic record

  • Resolving queries and breaches

  • Liaising with other teams

  • Supporting Managers and Clinicians

  • Maintaining records and typing of letters

Detailed job description and main responsibilities

  • taking referrals via telephone and online system
  • answering calls
  • managing several inbox's
  • entering data for clinical staff onto system
  • assisting with job plan entry
  • minute taking

You must possess excellent time management skills, a positive approach and be able to remain calm under pressure. You will need to be able to demonstrate the strength of your communication, prioritisation and administration skills at the same time as showcasing your knowledge of IT systems. You will be able to evidence a flexible response to service needs and the ability to think creatively. Experience of working to deadlines, on your own initiative. There will be, at times, face to face patient contact and the working environment can be very busy. The successful candidate will need to have the ability to confidently and sensitively deal with telephone calls from individuals who may sometimes be distressed or upset.

You will be required to provide an excellent administrative service to team members, maintain confidentiality of patient data, and be friendly and helpful to service users and team members.

  • Administration Work Experience, including Team Working and Record Keeping

Desirable criteria

  • Knowledge of Trust Electronic Record System

  • Understanding and experience in a full range of secretarial procedures and systems gained through practice at intermediate level

  • Previous NHS Admin experience

  • ICT skills including Microsoft (especially spreadsheets and presentations, e.g. Excel, Power

This update service is an annual subscription at a cost of £13 to you. This will enable the Trust to have instant online access to your DBS record, with your consent, and so will remove the need for you to have to apply for this repeat check again.
