Senior Support Officer Full Time

at NHS Scotland Glasgow in Glasgow (Published at 19-12-2020)

  • To provide a confidential, efficient and effective secretarial, administrative and clerical service to staff within the Public Health Protection Unit, making use of all Microsoft Office packages.
  • Attend to all correspondence and incoming mail, including electronic mail and draft responses as required.

  • Screen incoming telephone enquiries on a regular basis, demonstrating strong verbal communication skills. An accurate record of telephone calls must be taken in the absence of staff and ensure that urgent calls are dealt with appropriately.

  • To provide general office duties including diary management, filing, photocopying, scanning, faxing, preparation of PowerPoint presentations, travel arrangements, and study leave.

  • Attend meetings to record and type minutes or notes and prepare forward action lists. Follow up on action points where appropriate.
  • Responsible for arranging meetings, including video conferencing, booking venues and hospitality.

  • Responsible for co-ordinating, preparing and distribution of supporting papers for meetings.
  • Responsible for creating, updating and maintaining databases and spreadsheets.

  • Assisting team members with other administrative tasks as and when appropriate to ensure the unit has adequate cover at all times during office hours, for example to cover lunch breaks and staff leave.



Requirements:


  • Higher National Certificate or equivalent
  • High level of skills using Microsoft Office software packages, e.g. Word, Excel, Access, PowerPoint

  • Secretarial, administrative, clerical experience, educated to HNC level or equivalent experience

  • Proficient in use of Microsoft Word along with knowledge of other principal Microsoft Office packages

  • Good written and oral communications skills

  • Excellent organisational skills

  • Ability to prioritise workload

  • Experience in minute taking

  • Ability to deal with enquiries in a professional and courteous manner

  • Ability to attain knowledge from internet and competent in email.
  • Ability to take accurate minutes

  • An understanding of and the ability to maintain confidentiality and clear understanding of Data Protection Act and Freedom of Information Act

  • Flexible attitude to work in general


This is a fixed term post for 6 months and is worked Monday to Friday 9am to 5pm.
