Medical Receptionist/Administrator Full Time

Eve Hill Medical Practice is a well-established busy family medical practice in the heart of Dudley in the Black Country, rated outstanding by CQC in March 2016.

Eve Hill cares for approximately 8,100 patients who often have high levels of deprivation and ill-health, and we have a tradition of excellence in service provision and care for our patients, as well as commitment to giving our patients access to the best service possible.

The practice consists of six GP?s, Practice Manager, two practice nurses, a Health Care Assistant and ten reception and support staff. We are a training practice for the Black Country Vocational Training Scheme and usually have at least one registrar in training. We also provide placements for final year medical students from the University of Birmingham.


Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice

  • Deal with all general enquiries, explain procedures and make new and follow-up appointments.
  • Processing face-to-face and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional/service
  • Processing and distributing incoming (and outgoing) mail
  • Receive and make telephone calls. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
  • Checking an responding to email received via practice email account
  • Checking and responding to online requests through the practices online platform
  • Setting up and responding to queries relating to Patient Online Access
  • Processing repeat prescriptions in accordance with practice guidelines
  • Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
  • Ensure tasks and workflowed items are acted upon
  • Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
  • Providing clerical assistance to practice staff as required from time to time, including word/data processing, filing, photocopying and scanning
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
  • Registrations of new patients ? computer data entry and medical records.
  • Process patients change of address ? computer data and medical records (have knowledge of practice area.
  • Undertaking designated administration tasks as agreed with the practice.
  • To work in accordance of written protocols.
  • Liaise with medical representatives in accordance with agreed policy.
  • Filing and retrieving paperwork
  • Photocopy as required
  • Participate in Practice Meetings and Learning Events
  • Provision of refreshments for staff and visitors as required and keeping the kitchen area clean and tidy
  • Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter including participating in daily checks.
  • Clearing and re-stock consulting rooms as required


  • GSCE A-C or equivent
  • Educated to NVQ Level 2 level in relevant subject.
  • Evidence of continuous professional development.
  • Understanding of what is required when providing good customer service
  • Experience of working in a team.
  • Ability to communicate face-to-face, over the telephone and written, with a range of people including patients and health professionals.
  • Strong computer skills and ability to use Microsoft Word and email systems.
  • Able to learn new computer packages and programmes quickly.
  • Ability to relate to people and build effective working relationships within and across teams
  • Willingness to learn
  • Understanding of confidentiality and what is required in order to maintain it.
  • Be hard working and willing to contribute to the team effort
  • Articulate and confident in dealing with members of the public
  • Able to work accurately
  • Ability to apply tact and sensitivity when dealing with patients and the public

  • Ability to work flexibly throughout the surgery opening hours.
  • Have an excellent attendance record and time keeping skills
  • Smart and presentable


  • AMSPAR Diploma for Medical Receptionists.
  • Telephone skills training
  • Experience of working within general practice or health/social care sector.
  • Experience of working in a call centre environment.
  • Experience of using EMIS Web.

Hours: between 30-37.5 per week (for agreement with candidate)

Shifts: 5 days a week, Monday to Friday, required to work flexibly between the hours of 8.00am and 7.00pm.
