Contracts and Insurance Administrator Full Time

Our Contracts team is now looking to recruit an Insurance and Contracts Administrator to join their small team based in Wallingford, Oxfordshire to support with the administration of all matters related to insurance and contracts for the business. Reporting to the Contracts Manager, the Insurance and Contracts Administrator will be responsible for day to day liaison with insurance brokers including dealing with claims administration. Additionally, they will support the commercial and project management teams in proposal and contract management including the management, recording and storage of contracts.

ROLES AND RESPONSIBILITIES

The duties and responsibilities associated with this position include, but are not limited to:

  • Handing internal and external matters related to insurance claims, with day-to-day workload largely focused on marine equipment, vehicle accident, personal accident and travel claims
  • Collating data for real-time, quarterly and annual declarations to brokers i.e. hired in marine equipment, Travel statistics, hire car days, vehicles traveling to EU.
  • Regular correspondence and liaison with insurance brokers for day to day admin queries and matters including for vessel charters and renewal of vessel covers
  • Annually collating information for insurance renewals for both companies
  • Organising and attending renewal meetings and other meetings with brokers and insurers
  • Filing and storing all information and correspondence regarding insurance claims
  • Producing reports and spreadsheets for management as required
  • Providing administrative support for internal staff for insurance related issues
  • Provide administration support for company legal and commercial contracts matters
  • Support the Contract Manager and contracts team with day-to-day contracts tasks as required including management, recording and storage of internal and external contracts and related correspondence and documentation
  • Liaise with sub-contractors, suppliers and clients as required
  • Support to commercial and project management teams in proposal and contract management as required
  • Occasional UK travel (principally to Falmouth and Portchester) required

Skills and experience

This role would suit someone with the following skills who may or may not come from an insurance and contracts background:

  • Highly organised with excellent administration skills and a methodical approach to their work
  • Keen attention to detail
  • Ability to manage multi-tasking and changing of priorities on an on-going basis
  • Strong communicator with excellent English language skills both verbal and written
  • Innate ability to interact confidently with others at all levels, both internally and externally
  • A desire to learn
  • Ambitious and demonstrates initiative in their daily activities
  • Advanced Microsoft Office 365 skills including Word, Excel and Outlook
  • Flexibility to travel to offices in Portchester and Falmouth as required
