Job Description

The Pasco Group is looking for a highly experienced Office Manager/Executive Assistant to join their friendly team in Bristol, and to work alongside the other EA. You will be providing Executive Assistance to the Directors of the company and their management team; and be responsible for the smooth running of the office.

Your main focus as an EA will be on the QSR (Quick Service Restaurants)aspect of the business, however your interactions with all stakeholders will ensure all aspects related to the office are managed seamlessly, streamlining efficiency, and to ensure they meet the needs of the organisation and its employees.

Office Management duties include:

  • Create a welcoming, supportive and engaging office environment, ensuring the office remains in pristine condition, well stockedand facilities are well maintained.
  • Liaising with core suppliers related to all aspects of the office.
  • Manage relationships and negotiate agreements with vendors – insurances, vehicles, securityandmobile phones.
  • Ensure the office is fully compliant with Health and Safety regulations.
  • Oversightof office budgets and regularly monitor company expenditure.
  • Review and encourage best practices for organising the flow of work and information throughout the business.
  • Organising internal/external conferences and events.
  • Schedule QSR trainingsessions and days.
  • Attend and actively participate in strategic and operational meetings.
  • Other general administrative duties.
  • Supporting HR and Accounts functions when necessary.

EA duties include:

  • Supporting the Managing Directorwith diary and email management.
  • Screen and direct phone calls, distribute correspondence, and provide general administrative support to the wider team.
  • Schedule internal and external meetings, including board meetings, and catering.
  • Preparation of internal and external communication ? agenda?s, presentations, reports, minutes, action trackers.
  • Local and international travel arrangements.
  • Compiling and submitting purchase orders and expense claims on behalf of Directors, using the Xero Accounting package.
  • Capture, alert and monitor important issues for the Directors where follow up is required.
  • Support and maintain oversight of ad-hoc projects, follow-up with key project managers where required.
  • Manage and be responsible for ad hoc projects.
  • Assist the directors in evaluating team performance and success.
  • Weekly/Monthly reporting to the Directors.

*Essential Experience:
*Minimum of 2 years proven Office Management experience required, and a preferred minimum of 5 years in a similar Executive Assistance role at a senior management or executive level.

Highly proficient in the Microsoft Office suite of products (particularly Excel), and other business technologies.
