Job Description:
Do you have experience within Asset Management? An exciting new opportunity has arisen from one of Core-Asset?s leading clients as an Executive Assistant, and could be perfect for you! This role is ideal for someone who is available to start immediately.
The successful candidate is to provide a professional and comprehensive range of administrative and secretarial support to the Chief Executive Officer, Chief of Staff and other Distribution Executive members as required.


This role is an initial 6 week temporary contract based in Edinburgh.



Essential:


  • Previous experience of working within Asset Management or, as a minimum, in Financial Services

  • Excellent communication skills

  • Excellent interpersonal skills ? assertive, efficient, positive and approachable

  • Proven experience with Microsoft Office Suite


Desirable:


  • Proven administrative and organisation skills

  • Basic book keeping knowledge and numeracy skills

  • Good time management skills

  • Thorough and diligent ? good attention to detail

  • Highly motivated and enthusiastic in providing an excellent service to customers

  • A ?people person? with a strong work ethic, keen to learn and to develop an understanding of the investment business


Core Responsibilities:


  • Effective diary management for CEO and Chief of Staff ensuring optimum use of available time.

  • Meetings preparation, managing agendas, compiling reports, issuing papers within agreed timescales, managing venue and catering requirements.

  • Effective email system management as required, ensuring emails are responded to appropriately and in a timely manner.

  • Distribution of team meetings with CEO and Distribution Executive meetings - organise meetings ensuring appropriate rotation of time to accommodate global time zones.

  • As necessary, provide diary management support to other Distribution Executive members to support busier periods or holiday cover for other Executive Assistants.

  • Management of all aspects of travel.

  • Effective fielding of internal and external telephone calls.

  • Manage approval of expenses of direct reports to the CEO.

  • Assisting in the preparation of board reports, business plans, budgeting and other senior administrative matters.

  • Create and maintain team and departmental spreadsheets as required.

  • Creation and preparation of PowerPoint presentations and excel spreadsheets as required.

  • Maintaining an efficient and user-friendly filing system, both paper and electronic.

  • Meeting with the CEO on a regular basis to provide work plans and diary preparation, review progress of actions to date, etc.

  • Maintain good working relationships externally and internally dealing with any queries or issues effectively (e.g. other business departments, key managers, especially investment teams).

  • Ensure holiday and sick schedule is updated and maintained Distribution Executive, CEO and Chief of Staff.
