DWP Install Administrator Full Time

at Triumph Furniture Limited in London (Published at 14-01-2019)

Work closely with Customers and Installation Managers to support the implementation of projects and day to day furniture installations. Work with the Installation Managers and subcontracted installation teams to assist managing the coordination of activities, resources, equipment and information. Responsible for maintaining the Service levels to customers and ensuring our installation partners are performing effectively on all day to day installations by their due date; managing next actions; non-conformances; snagging and all communications and ensure orders are all delivered on time in full.

Main purpose of post:

All administration for the DWP Project team

Key Accountabilities & Responsibilities:

Administration

  • Call forward and conduct over the telephone site surveys
  • Portal Management of Installs
  • Responsible for all sign off documentation in conjunction with installation
  • Communicate effectively with Distribution Manager
  • Liaise with Disposal companies for receipting of goods receipt for reconciliation with accounts payable.
  • Notify disposal companies for the projected quantity of items expected to be delivered to them each week.
  • Book installation subcontractors in writing. Reconfirm dates and times of arrival on site to all parties and update order for correct scheduling by Distribution.
  • Monitor Sign off/Snagging/Delays/other verify the quantity of product to be delivered and removed.
  • Check access and any restrictions
  • Advise time frames for the furniture delivery and removal
  • Check if existing furniture is bolted to the floor and get a photographic image of the fixings.
  • Ensure booking checklist is covered and install team have the correct information and the project sign off paperwork.
  • Ensure paper work is back in the office at the end of every day and all signed POs are sent to Contract operational manager
  • Ensure the correct amount of sofas are on the paperwork if incorrect the master schedule will need to be updated and this will need to be sent to Sodexo when there is a change of numbers
  • Ensure all paper work is up to date and in project files for all to access both electronically and hard copy.
  • Provide all information for site surveys and contact details for PM or IM
  • Ensure that the admin for the PMs are covered
  • Processing snagging orders
