An exciting opportunity has arisen for a Property Administrator to join a leading management letting agency in our branch in Disbury, Manchester.
The role requires a proactive, competent and highly professional candidate. The individual will undoubtedly be confident and able to develop good working relationships with the whole team. The role will encompass PA support, administration management and other roles as required. You will be discreet in managing personal and confidential matters. You will also be able to demonstrate adaptability and flexibility, bringing organisation to a busy environment.
This is an extremely busy and demanding role and therefore excellent prioritisation and organisational skills are required.
You will be the key point of contact for customers and the role would include the following duties:
Answering calls and emails from tenants and landlords
Ensuring the smooth running of every aspect of the schedule pertaining to inventories and inspections
Prioritising and reporting maintenance issues
You may be required to spend time out of the office; be it compiling inventories, conducting periodic property checks. You will also coordinate tenancy renewals as well as liaising with the lettings team to maximise property occupancy.
You will be responsible for overseeing the administration of the Property Management team to ensure the smooth running of the department.
You will ensure processes are followed and all paperwork is produced accurately and on a timely basis.
You will be responsible for liaising with letting agents, tenants and contractors and deal with queries or requests promptly and professionally.
You will also be responsible for updating the in-house property management system and ensuring records are accurate and up to date as well as maintaining relationships with external parties.
You will work with the finance team to resolve queries on tenant’s accounts and coordinate deposit returns.


You will produce weekly rent arrears listings and take the necessary legal action against those rent cases in arrears.

PERSONAL SPECIFICATION:
You will be using our in-house lettings software and other online tools so you must be computer literate with a good understanding of MS office.
The role requires accurate account administration, tasks which demand attention to detail and a methodical approach.
This is a challenging and dynamic environment and you will thrive on change, often juggling a number of tasks and regularly reprioritising activities. You will, therefore, require superb planning and communication skills.
The successful candidate will also be flexible, resilient, professional, adaptable and a dependable team player.
Previous property management experience is an advantage although is not necessarily required however previous office experience in a customer facing environment and a solid track record in administration will give you a distinct advantage.
